Timesheets FAQ

Question:

 

When I go to add my timesheet, I don’t see my current pay period available.  What do I do?

 

Answer:

 

Visibility to pay periods is managed under the list configuration area.  Contact your supervisor or a security administrator with your company to let them know that you are unable to see the current pay period.

 

Question:

 

I just completed and signed all of my notes.  When I select my timesheet and click on the import into timesheet button, my notes don’t appear.  What should I do?

 

Answer:

 

Only notes approved by a supervisor are eligible for import onto the time sheet.  Contact your supervisor to ensure that your notes have been approved for payroll. 

 

Question:

 

I imported my notes into the wrong pay period.  What do I do?

 

Answer:

 

Click on the red trashcan (Remove from Timesheet) for the line item to delete the time.  Once you have done this,  go to the correct pay cycle and click on import into timesheet again.  Because the time has been deleted from the incorrect timesheet, it is now available to be imported into the correct timesheet.

 

Question:

 

My supervisor has already approved my timesheet, but I did fill-in work during the same pay period.  What do I do?

 

Answer:

 

If this situation has occurred prior to payroll being processed, you can contact your supervisor, inform them of the fill-in work and they can un-approve the timesheet if necessary.  Then, simply un-sign the timesheet and import any additional time.  If this documentation was approved after payroll was processed, then the un-paid time will be eligible for import into the next pay period's timesheet.  

 

Question:

 

I did not work any during this pay period.  How do I delete my timesheet?

 

Answer:

 

Once a timesheet has been created, it cannot be deleted.  However; the time entries on the timesheet can be deleted.

 

Question:

 

I am a supervisor, and I cannot see a particular employee's timesheet.  Why am I not able to see their timesheet if they are saying that they have completed it?

 

Answer:

 

If you are not able to see a particular employee's timesheet for approval purposes, then you will need to contact your company's system administrator to let them know that you cannot see the employee's timesheet.  If you do have access to the particular employee's record, you will need to ensure that your name is listed as the "Reports To" person under their Demographics tab.  The link between the employee and the timesheet approver is made under the Demographics tab of the employee's record. 

 

Question:

 

I am a supervisor, and I need to see if any of the notes imported into a particular timesheet are late.  How do I check that?

 

 Answer:

 

First, select the timesheet in question.  Next, click on the "Late Notes Report" button (top of the window).  You will be presented with a list of late notes for the timesheet.
